Behind the Scenes: How Back Office IT Support Keeps Data Flowing in Real-Time

It’s the quiet engine that powers real-time visibility, informed decision-making, and streamlined reporting. This month, we were tasked to build a Live Score Tracker for a community to monitor newcomers in real-time. The idea was simple: as people filled a form during or after service, data should flow into a dashboard, showing:
Which units or departments were bringing in the most newcomers?
A breakdown of demographics like age group, gender, marital status, and location.
So, how did we do it?
📊 Step 1: Collecting the Right Data
We started with a structured input form from Microsoft Forms or Google Forms. The form captured:
Newcomer name (optional)
The department or unit that invited them
Age
Gender
Marital status
Location
This data auto-populated into a central Excel workbook stored in the cloud for accessibility.
⚙️ Step 2: Live Data Summaries
Using Pivot Tables and COUNTIF
formulas in Excel, we created two trackers:
Unit Tracker: Ranking departments by number of newcomers.
Demographics Tracker: Displaying charts on gender, age group, marital status, and location.
By structuring the source data as an Excel Table, we ensured every new form entry updated the visual dashboards instantly.
📈 Step 3: Making it Visual
We used slicers and colour-coded charts to make the data digestible for non-technical leaders. The goal was clear: they shouldn’t need to scroll through rows—just glance, decide, act.
